In general, we use your personal data to process your inquiry, to improve the quality of products or services, for purposes of technical administration and further development of our website, and to maintain the address data of persons with whom we maintain business relations.

Personal data contains information that allows your identification, and which may be traced back to you, such as your name, e-mail address, telephone number and IP address.

Data collected and use of data – all website users

Swiss Exams collects from every website user data about accesses to the site and saves them as "server log files". The following data is logged in this way:

  • Visited website
  • Time of access
  • Amount of data sent in bytes
  • Source/reference from which you came to the page

The data collected is used solely for statistical evaluations and to improve the website. However, Swiss Exams reserves the right to subsequently check the server log files if there are concrete indications of illegal use.

If you leave a contribution or comment on this website, your IP address will be saved. This serves the security of the Swiss Exams: If your text violates the law, he wants to be able to trace your identity.

In addition, the website uses Cookies, Google Analytics, social media plug-ins and links to third-party websites. Please refer to the corresponding sections below for further information on these topics.

Data collected and use of data – users providing contact information as well as online shop users

If you contact Swiss Exams through the contact options offered or if you make use of our online shop, additional details will be stored. In this context, Swiss Exams may additionally collect the following personal data:

  • Name and job title
  • Contact information including email address and telephone number
  • Demographic information such as postcode, gender, preferences and interests
  • Other information relevant to customer surveys and/or offers

Swiss Exams may use such data for the following reasons:

  • Processing and responding to your enquiry
  • Internal record keeping
  • Improvement of our products and services
  • Marketing & market research (see corresponding section below)

Data collected and use of data – examination candidates

Swiss Exams acts as exam management and examination centre for different international language institutes or examination boards, including, but not limited to, the Cambridge English Language Assessment of the University of Cambridge, United Kingdom, or the Goethe-Institut, Germany (collectively the "Examination Providers"). If you are an examination candidate, your personal data will therefore be used and shared on a cross-border basis (i.e. Switzerland and the UK, or Switzerland and Germany) between Swiss Exams as your local examination centre and the respective Examination Provider (respectively its employees and agents) for the purpose of administering the exam, including processing exam entries and results, marking exam scripts, issuing certificates, processing enquiries about results and investigating cases of malpractice etc.. In case of examination related inquiries Swiss Exams may, in particular, forward your personal data to the person responsible within these institutions for answering or processing your inquiry. In addition, Swiss Exams may use your personal data for its own marketing & market research purposes (see corresponding section below).

Please note that the Examination Providers will be subject to different data protection laws and may have established different data protection standards than Swiss Exams. In addition, the Examination Providers may collect additional personal data and may use such personal data for additional purposes not outlined herein (including Examination Provider-specific marketing, research and quality control purposes). Examination candidates should therefore additionally consult both the privacy policies and/or data protection declarations of the relevant Examination Provider as well as the respective exam's terms and conditions for further details.

Marketing & market research

If and to the extent you have provided us with a personal email address, Swiss Exams may periodically send promotional emails about new products, special offers or other information, which we think you may find interesting. From time to time, we may also use your information to contact you for market research purposes. We may contact you by email, phone, fax or mail. We may also use the personal data provided to customize the website according to your interests.

Swiss Exams may contact you for these marketing purposes, unless you notify us that you no longer wish to receive marketing communications (e.g. by email to info@swiss-exams.ch). Your consent to the use of your personal data for these purposes is voluntary and if you refuse your consent, your visit and use of the website will not be affected.

Newsletter subscription

Swiss Exams offers you a newsletter in which we inform you about current events and offers. If you would like to subscribe to the newsletter, you must enter a valid e-mail address. You can unsubscribe from the newsletter at any time via an "Unsubscribe" link or by sending a message to info@swiss-exams.ch.

Data storage period

Swiss Exams stores the personal data of the person affected only for the period necessary to achieve the purpose of storing it or that is permitted or prescribed by the regulator. If the purpose of storing the data no longer applies or a period prescribed in laws or regulations expires, the personal data are routinely blocked or deleted in accordance with statutory regulations.

Any data and documents required for accounting purposes are stored until the lapse of the statutory preservation period (i.e. 10 years in Switzerland). Personal data collected for marketing activities is deleted as soon as the purpose of the activity has been met or upon request of the individual concerned. Other data is stored as long as is necessary for the execution of the contract and to safeguard the rights of Swiss Exams. Examination candidates should note, however, that information which may be needed later to confirm and verify their result will be kept for an unlimited time.

Rights of the user: Information, correction and removal

Upon your request, you as a user will receive free information about which personal data about you has been stored. Unless your request conflicts with a legal obligation to store data (e.g. statutory preservation periods) and to the exception of information which may be needed later to confirm and verify results of examination candidates, you have a right to have incorrect data corrected and your personal data blocked or deleted.

Data transmission security

Remember that the Internet is generally not a safe environment. Unauthorized third parties may be able to view and manipulate information that you send over the Internet. Complete protection against such access by third parties is not feasible. Keep in mind that data sent over the internet may leave and be transferred to a country where data protection requirements are less strict than in the country where you reside, even if the sender and recipient are in the same country. Against this background, Swiss Exams assumes no responsibility for the security of your data while it is being transmitted to us via the Internet. We ask you to use other means of communication if you consider this necessary for security reasons.
